Olean Medical Group LLP Update for Our Patients & Our Community

It has been three months since the Cyber Attack at Olean Medical Group LLP. Tuesday, June 11, 2019 was to be a typical, full schedule of patient appointments, blood draws, CT scans, mammograms, etc. at OMG’s main site as well as our 5 satellite offices. Shockingly, we learned that at 3:15 AM, our organization was the victim of a cyber-attack; our computers sat idle throughout, while over 200 employees and providers worked diligently to care for patients and fill ancillary needs. Without access to patients’ medical records or the internet, it was confirmed we experienced what has become all too common across the world of healthcare. By Sunday, June 16, 2019, with the help of remarkable consultants, a committed IT team, the endless support of providers, and a rock-solid staff, Olean Medical Group held an on-site meeting with nearly all employees and providers in attendance. Together, we executed a detailed plan to move forward; we have taken this challenge and turned it into an opportunity.

The past three months of paper charting has been a challenge in an EMR operating world; with a committed staff, we are maintaining a steady pace and caring for our patients. OMG partners and providers have weighed several exciting options for our future. We have evaluated state of the art EMR systems allowing for a successful future for our practice. We have begun implementation of a new system which will allow us to be operating more effectively; we will continue to provide the quality patient care we have fulfilled for 71 years. The soft date to go live with our new system is around the middle of November; until then, we continue to rely on various secure sources for our patients’ medical history. A new EMR implementation would typically take 6-12 months for an organization our size. Due to our situation, we have been working aggressively to facilitate this implementation in a four- month period.

It is with sincere gratitude we thank our patients for their continued patience. To reassure you, at no point in this process has patient information been compromised. We are excited for the capabilities of our new system and what it will provide.

What can you do to help until the conversion to a new EMR?

  • Please update your email address with your provider. You can call the office directly or our main line: 716.372.0141
  • If you are scheduled for an appointment for the first time since June 11th, please remember to bring a list of your medications and their dosages.
  • Please allow for extra time for prescription refills as we cannot send electronic scripts to the pharmacies.
  • If you have an account through our patient portal on Follow My Health, download your information and bring it with you.

On behalf of the entire team at Olean Medical Group LLP, thank you for allowing us to care for you and your loved ones. We value your help with the above points so that we can better access your information. The healthcare world mandates EMR and as one of the first to implement it, we are steadfast in our efforts to be electronic, again. With multiple organizations experiencing similar attacks to ours, we empathize with the operating challenges and administrative decisions that lie ahead for these companies. We caution our professional colleagues to take every measure to safeguard your company information. Sustaining this kind of event is crippling to both large and small organizations.

After three months, we are looking ahead and preparing to celebrate our recovery. This experience, although difficult for all, has made us stronger. I am proud of each and every employee, provider, and partner at Olean Medical Group LLP for their dedication to serve the needs of you, our patients.
